Your first WhatsApp message matters more than you think.
A lead fills in your form and leaves a phone number. What happens next decides the deal. How to turn that moment into a WhatsApp conversation in seconds.

Someone fills in a form on your website and leaves their phone number. Right now, they're thinking about you. They've just read your page, compared options, and decided to raise their hand.
In most companies, what happens next is an automated email nobody opens, and a call from an unknown number two days later that nobody picks up.
Interest has a short shelf life
The research has been consistent for over a decade. Harvard Business Review's study of online sales leads found that companies responding within an hour were far more likely to qualify a lead than those that waited, and that most companies waited much longer.
The first 2-3 minutes after a form submission are the warmest moment in the whole relationship.
The lead still has your tab open and the phone in their hand. That's the moment to start the conversation, and to start it on the channel they actually read. In Meta's State of Business Messaging report (Kantar, 2026), 73% of consumers said they prefer messaging when contacting a business.

The blueprint
Ask for permission on the form. One opt-in checkbox turns a phone number into consent to contact them on WhatsApp. Without it, don't send.
Send a quick, automatic first message. The moment the form is submitted, a short WhatsApp message goes out: their name, what they asked about, and one easy question to reply to. Short enough to answer with one thumb.
Hand the reply to a human. Automation opens the door; a person walks through it. Route replies to the right team member with the form details already visible.
Record, measure and optimise. Keep every conversation on the contact record, then watch the numbers: how many leads opt in, how many reply, how fast your team picks up. Small details move them, such as the wording of the first message, the question you ask, and who answers. Test, tweak, repeat.
Common mistakes
A wall of text. The first message should be short enough to answer with one thumb.
A bot that never lets go. People who reply expect a person, especially when the purchase matters.
No follow-through. An instant first message is pointless if the reply sits unanswered for a day.
