How to give every sales rep their own WhatsApp number
One WhatsApp number per rep, owned by the company. How to keep relationships personal, follow-ups on time and conversations safe when someone leaves.

In many sales teams, the relationship with the customer is the product. The buyer wants to message their own contact, and the contact wants to answer personally. A WhatsApp number per person gives you exactly that: for the customer, it feels like messaging their account manager directly.
The risk sits on the company side. If the number lives on a phone in the rep’s pocket, the relationship leaves with them. This guide covers the problems this setup creates and how to solve them, whichever tool you use.
When a number per person is the right choice
This setup suits teams where individuals own the relationship:
Sales teams with account owners, such as recruiters, real estate agents and account managers.
Admissions advisers who guide each prospective student personally.
Businesses with high-value deals, where every conversation matters.
Not sure this is your setup? There are other ways to structure your numbers, which we cover in structuring WhatsApp numbers across teams.
The four problems every number-per-person setup runs into
1. Personal numbers don’t scale
The usual way to give each rep their own number is to set up a WhatsApp Business account on each rep’s phone. It works at first. But every conversation lives on a device, so it walks out of the door when the rep leaves. And as your volume grows, so does the risk that WhatsApp restricts or blocks one of those numbers, leaving the rep silent in the middle of a deal. The fix is for the numbers and their history to belong to the company, and to be run with WhatsApp’s rules in mind.
With Polser: numbers belong to your company, not to a phone, and run on the WhatsApp Business API with safeguards built around Meta’s rules. When someone leaves, you deactivate their account and the conversation history stays. Reassign the number, hand the open chats to a colleague, and nothing is lost.
2. Reps guard their leads, managers need oversight
Salespeople don’t want other reps reading their conversations or seeing who they are working on, and customers expect a private conversation too. At the same time, managers need to see what is happening and be able to step in. The fix is to decide who sees what before you invite anyone.
With Polser: you decide who sees what. Managers are admins, so they always see every number. Your reps are team members, and one setting limits each of them to the numbers assigned to them. Every rep keeps their conversations private, and the manager keeps the full picture.
3. Follow-ups get forgotten
With one number per person, the whole relationship depends on one person. WhatsApp moves fast, so it is easy to lose track of what a lead asked only a few hours ago. Conversations get buried in a busy inbox, and WhatsApp on its own can’t tell you who you need to follow up with. The fix is a daily routine that shows what is pending and puts the next step in motion.
With Polser: filters for unread and unanswered chats show what is still pending, and labels, with your priority ones highlighted, tell you what comes first. Archive the chats you have dealt with and finish the day with an empty inbox. A chat comes back on its own if the customer writes again. For anything that needs a nudge later, schedule the reply for tomorrow or next week, and the follow-up goes out without you having to remember.
4. Two reps contact the same lead
When leads are assigned loosely, by region, stage or whoever happens to be free, the same customer often hears from more than one person. It feels disorganised and unprofessional, and it can cost the deal. The fix is a clear assignment process based on business criteria such as region or stage, reviewed and updated regularly, and driven by your CRM so it doesn’t depend on someone remembering.
With Polser: conversations with a sales rep can be started directly from your CRM, based on your own business rules. Reps simply see them appear in the inbox of their assigned number. During holidays, a colleague can temporarily reply on behalf of an unavailable rep, using their number.
A short checklist for any number-per-person setup
Set the visibility rules before inviting anyone, and make sure everyone on the team is comfortable with them.
Name each number after its owner, so the list stays readable.
Define how leads are assigned, by region or stage, and review it regularly.
Make sure the team uses labels to show a clear next step or to prioritise follow-ups. Archive chats when they are done, to work towards an end-of-day inbox zero.
Keep customer conversations visible in your CRM, not only in the rep’s inbox.
Plan for leavers: reassign the number and hand over open chats the same day.
Review the metrics and share what works across the team.
Why teams choose Polser for this
Polser is built only for WhatsApp, so ownership, privacy and follow-up tools work out of the box instead of being bolted on. You get an inbox that looks and feels like WhatsApp, so every rep learns it in minutes, with AI that suggests and speeds up work without replacing the person writing. It also connects to your CRM, whichever one you use, and if you run HubSpot we have a ready-made integration Polser for HubSpot.
Frequently asked questions
Can every salesperson have their own WhatsApp number?
Yes. With Polser, each rep works from their own number and their own login, on web or mobile.
Do we need a phone for each rep?
No. With Polser, the most you need is a handset within reach once per number, during the initial setup. If a number comes from an online provider such as Aircall or Telnyx, you don’t need a handset at all. After that, nobody has to look after a phone.
What happens to the conversations when a rep leaves?
Nothing is lost. The number and conversation history stay with the company, and you can reassign them to a colleague.
Can managers see their reps’ conversations?
Yes. Polser has two types of users: team members and admins. Managers set up as admins always see every number. Reps set up as team members only see their own, as long as you choose “assigned numbers only” in the visibility setting.
Can we combine this with a shared support number?
Yes. Many teams keep a shared support line and give each salesperson a personal number. You can combine models in one workspace.
